Terms

Proposal

An outline of the project deliverables, in-line with the client requirements, along with the associated costs.

Phase

A project will generally consist of four primary phases: Preparation, Design, Development and Go Live.

Brief

A document that informs us of the client’s requirements, what they wish to achieve, what market and audience they are targeting, and any other related information.

Revision

A revision is a list of change requests from the client with the goal of moving closer to the best end result for each phase of the project in accordance with the brief.

Preparation

Securing Studio Time

In order to secure the studio time, we’ll need written acceptance of the Proposal along with a request for a 30% deposit invoice.

Once the 30% deposit payment has been received, the studio time is secure and we’re ready to get started.

Project Details

In order to make sure the project progresses seamlessly, we ask our clients to setup a free DropBox account with a folder containing the following details:

  • The company name.
  • A sitemap illustrating the pages that will feature on the website.
  • Examples of any relevant or desirable logos for design inspiration.
  • Examples of any relevant or desirable websites for design inspiration.
  • Content and copy for the pages that will feature on the website.
  • A title and description for the website e.g “The Apple Store | Southampton” – “Purveyors of the most delicious apples on the South Coast”.
  • The links to any social media profiles that will feature on the website.
  • A folder containing any high resolution images you wish to use on the website.
  • Login details to the chosen domain registration company.
  • Server access details obtainable from the website hosting provider.

Once we have these details we will be in a good position to begin the Design phase.

Design Phase

We will send you early concepts of your new brand, logo or website to demonstrate our interpretation of the brief and gather your feedback.

Once an initial concept has been established and agreed, we will allow for 3 rounds of revisions.

Each round of revisions will be clearly identified with an email or document titled e.g. “Round One of Three Project Revisions”.

Whilst we are committed to meeting our client’s end-goal, any major change requests following the Third round of revisions may be considered extra work and will be billed for. E.g. A major change request may include moving photos and text around the page, these are significant design changes and will incur additional fees in accordance with our hourly rate.

Hatch will use its professional judgment to decide whether additional work will be charged for.

Design Sign-off & Approval

Once the client is happy with the design, we will ask for a formal approval via email which will include the following declaration:

“I confirm that I am empowered to approve the design files on behalf of [Company Name] as fit for purpose and wish for Hatch to proceed with the development phase of the project. I understand that the designs are now finalised and will not be subject to change unless deemed reasonable to do so by Hatch”.

We would encourage approval by a company Manager or Director at this stage.

This milestone will be marked with a 30% payment, due before the development stage will proceed.

Once payment is received, the client will own the intellectual and creative rights to the the design files.

Development Phase

The Development phase will involve the coding of the website based on the approved design files.

Once the website has been developed the client will receive a link to a version of the build on our staging server.

The client will have the opportunity to review the website and ensure it has been developed in accordance with the approved designs.

We will then proceed to conduct testing to ensure everything is working correctly and that the website is cross-browser compatible.

Sign-off of Completed, Functioning Website

Once the testing is complete, the client will be asked to approve the website as complete and functional, via email.

This milestone will be marked with a further 30% payment.

Once payment is received, the client will receive WordPress access details to make any changes to the content before the website is transferred to the live server.

Go Live Phase

Once the client is satisfied all the content has been uploaded or updated we will ask for confirmation via email to transfer the website from our staging server to a live server.

Once the website is live we will support the client with any teething issues and ensure everything is working as expected.

Before the website is transferred onto the live server, the final 10% payment must be made to mark the completion of the project.

If the website is to be hosted on our servers we will invoice for the remaining 10% which will be payable within 7 working days.

The project handover will contain the website access details, tips of how to update the content along with any other relevant material.
